Summary/ Objective
To ensure the smooth day-to-day running of the Dubai office environment and provide administrative support to the Dubai team and CEO.
Essential Functions
- Assist the Senior Management and office staff with administrative duties, e.g. arrange meetings and provide reminders when needed.
- Maintain strong relationships with vendors and keep price data in order to get the best pricing on supplies and services.
- Be the main point of contact for visitors, maintenance, mailing, shipping, supplies, equipment, expenses and errands.
- Handle requests, feedback and queries quickly and professionally
- Develop and carry out an efficient documentation and filing system for both paper and electronic records
- Monitor office supply levels and re-order when appropriate
- Liaise with HR and Key Managers to arrange overseas travel for office senior management.
- Provide general support to visitors.
- Perform any other duties as requested by the CEO /Head of HR / UAE Admin manager.
Requirements and Qualifications
- Minimum 2 years’ experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position
- Professional attitude and appearance, and possess cultural and political awareness and sensitivity
- Ability to be resourceful, multi-task and prioritize daily workload
- Discretion with personal and confidential information
- Exemplary planning, organizational and time management skills
- High level written and verbal communication skills in English
- Ability to stay calm and on-task in high-stress situations
- Current in today’s office technology, and computer software including MS Office
- Hands-on experience with office equipment
- Customer service attitude
